Privacy Policy

This Privacy Policy describes how Prolog ("we", "us", or "our") collects, uses, stores, and protects information obtained through the SmartTrack mobile application (the "App"). By installing or using the App, you agree to the practices described below.

1. Who We Are

SmartTrack is operated by Prolog, a logistics technology company. The App is provided to authorized employees and contractors of fleet operating companies that have contracted our service for the purpose of cargo tracking, route compliance, and proof-of-arrival operations.

2. Information We Collect

2.1 Location Data

When the App is active and the user has granted the corresponding permission, SmartTrack collects:

• GPS coordinates (latitude and longitude)
• Timestamp of each location reading
• Approximate location derived from network signals (as a fallback)
• Battery level of the device (to monitor reporting reliability)

Location data is collected continuously while a load assignment is active, including when the App is running in the background or the screen is off. This is required so that dispatchers can verify route compliance and detect arrival at the destination geofence.

2.2 Device Information

• Device serial number / Android ID (to associate the device with a registered driver)
• Operating system version

2.3 Account Information

• Username and credentials provided during login (managed by the operating company)

We do not collect: contact lists, photos, microphone input, camera images, SMS content, browsing history, or any other personal data unrelated to the App's tracking function.

3. Why We Collect This Data

The data described above is used exclusively for the following purposes:

• Reporting the driver's real-time location to the operating company's dispatch system during an active load assignment.
• Detecting arrival at the destination by triggering the corresponding geofence event.
• Verifying route compliance and on-time delivery.
• Generating activity reports for the operating company.
• Diagnosing technical issues such as connectivity loss or low-battery scenarios.

4. How Data Is Transmitted and Stored

Location data and device identifiers are transmitted from the App to secure servers operated by Prolog or its contracted infrastructure providers. Transmissions take place over encrypted connections (HTTPS/TLS).

Data is retained for the period required by the operating company's fleet management contract and applicable legal obligations, after which it is permanently deleted from our active systems.

5. Data Sharing

SmartTrack does not sell, rent, or share user data with advertising networks, data brokers, or unaffiliated third parties. Location and operational data is shared only with:

• The operating company that has assigned the device to its driver (their dispatchers and supervisors).
• Cloud infrastructure providers strictly for the purpose of hosting and transmitting the data.
• Legal authorities, when required by valid judicial order or applicable law.

6. User Rights

Users may exercise the following rights regarding their personal data:

• Access — Request a copy of the data associated with their account.
• Correction — Request correction of inaccurate data.
• Deletion — Request deletion of their account and associated data. See our Data Deletion page for instructions.
• Withdraw Consent — Revoke location permission at any time through the device system settings; the App will stop reporting location, although this will prevent the App from fulfilling its core function.

7. Permissions Used by the App

• Precise Location (foreground & background) — To track the driver's position during an active load and to detect arrival at the destination geofence.
• Notifications — Required on Android 13 and later to display the persistent foreground notification informing the driver that location is being reported.
• Internet & Network State — Required to send location updates and receive load assignments.
• Wake Lock — Used briefly to ensure location updates are sent reliably even when the device is in low-power state.

8. Children's Privacy

SmartTrack is a business application intended exclusively for adult professional drivers (18 years of age or older) operating under a contractual relationship with the operating company. The App is not directed at children or minors under 18 years of age and we do not knowingly collect data from anyone under 18. If we become aware that we have collected personal data from a minor, we will delete it promptly.

9. Security

We implement reasonable technical and organizational measures to protect collected data against unauthorized access, alteration, disclosure, or destruction. These measures include encrypted transport, access control, and periodic security review. No transmission over the Internet can be guaranteed to be 100% secure, however.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last Updated" date at the top of this page will reflect any change. We encourage users to review this page periodically.
